Ordering your Sandburg transcript directly from the college or through Parchment is free. If you order your transcript through the National Student Clearinghouse, small fees are assessed. Telephone requests cannot be accepted.
Transcript requests are generally processed in one or two business days and aren’t processed on days the college is closed, including weekends, holidays and winter break (Dec. 24-Jan. 1).
Official transcripts are issued for current or former students, regardless of an unpaid debt to the college,* and directly to students or alumni as requested. If you’d like to pay an unpaid balance, email us, or call 309.341.5210.
Transcript request options
In-person
Transcripts ordered in person are generally mailed 24 to 48 hours after your request. The registrar is located in building E, room E100 on the Galesburg campus and at our location in Carthage. A photo ID is required.
Online
- Sandburg: Complete the online transcript request through Sandburg at no cost.
- National Student Clearinghouse: The National Student Clearinghouse charges a processing fee per mailing address for each Sandburg transcript.
- Parchment: Sandburg has a paid subscription with Parchment; so there’s no fee for requesting transcripts.
*In accordance with the Student Debt Assistance Act (110 ILCS 66).
TRANSFERRING CREDIT TO SANDBURG
If you've attended other colleges or universities, you can submit an official transcript for evaluation of credit toward your degree or certificate at Sandburg. View the transfer credit policies under academic credit in the current academic catalog.
Credit may also be awarded based on:
- Military service
- DANTES or USAF coursework
- College Level Examination Program (CLEP) exams
- Advanced Placement (AP) exams
- Biliteracy Seal of Approval and International Baccalaureate (IB) exams

GRADUATION REQUIREMENTS & APPLICATION
Students must meet the college’s graduation requirements to be awarded a degree, diploma or certificate. Program requirements may be found in the catalog.
Complete the graduation application.
You must complete an application for every academic award you plan to receive according to the application deadlines. You’ll receive your academic award at the end of the fall semester, spring semester or summer term. It's your responsibility to know and observe the requirements of your curriculum and the rules governing academic work.
Satisfy all requirements.
This includes program credit totals in effect at the time of your program enrollment. Requirements must be completed within five years of the first term of program enrollment — otherwise you must complete the program requirements effective at the time of your program completion. If an award is approved, the conferral date is for the term when the graduation application was submitted.
Decide on program requirements.
If you're currently completing program requirements when program curriculum changes, you may choose to follow the new academic program requirements.
Earn a minimum program cumulative 2.0 grade point average for all courses applicable to your program.
Certain programs may require minimum grades in specific courses or require a higher program cumulative grade point average.
Adjustments are possible.
Adjustments may be made when the program curriculum changes, courses are no longer available or a credit shortage exists due to transfer credit. It's your responsibility to know and observe the curriculum requirements and the rules governing academic work.
Complete a minimum of one-third of semester credit hours applicable at Sandburg to the award being conferred.
Graduate with honors.
If you earn a cumulative grade point average of at least 3.50 in coursework applicable to your program of study, you’ll graduate with honors. Program honors are listed on your transcript.
Receive your diploma or notification of unsatisfied program requirements.
You’ll receive your diploma or notification of unsatisfied program requirements approximately three to four weeks after final grades are posted. If you have an unpaid debt to the college, your academic records, including academic awards, won't be released. If you don't satisfy program requirements, you must submit a new graduation application indicating the term you’ll complete the program.
Receive selective awards.
If you're not currently enrolled, you may be evaluated and conferred selective credentials without student notification, providing you meet all requirements.
TRANSFERRING TO ANOTHER INSTITUTION
Sandburg offers a general education curriculum so you can take courses to complete your degree and/or pursue a bachelor’s degree upon completion here. Transferring to a four-year college or university from Sandburg is easy:
- Earn one of our transfer degrees, and select Sandburg courses that match the freshman and sophomore requirements of the four-year school you plan to attend. Check the course equivalencies by working with your advisor and visiting our Transfer Course Equivalency Guides or by using iTransfer.
- Work with your advisor to complete and follow an educational plan through Student Planner in mySandburg.
Reverse transfer
It‘s not unusual for students at a community college to transfer to a four-year college or university before completing their requirements for an associate's degree. You may still be able to obtain your degree from Sandburg while taking classes at a different institution. While the traditional method of transferring credits involves sending credits from a two-year to a four-year college or university, reverse transfer is a term that refers to sending earned credits that are obtained at a university to be transferred back to the community college to finish degree requirements.
It's helpful to have a degree on your resumé when pursuing employment opportunities. If you've completed at least 15 credit hours toward your degree at Sandburg, you may be eligible to pursue this option if some general education courses have been completed successfully at a different institution.
